Field officer / Associate Manager - Commercial

1. Job Purpose

To manage and maintain complete and accurate documentation related to dealers and distributors, ensure timely collection and verification of required documents, support dealer/distributor onboarding, and coordinate with internal departments for smooth activation and maintenance of channel partner records.

2. Key Responsibilities

Dealer & Distributor Onboarding

• Visit prospective and existing dealers/distributors for collection and verification of required documents.
• Ensure completion of dealer/distributor registration and onboarding documentation as per company guidelines.
• Coordinate with the commercial Team for timely completion of onboarding formalities.
• Explain documentation requirements and ensure submission of complete documents.

Documentation & Record Management

• Collect, verify and maintain documents such as GST registration, PAN, Aadhaar/KYC, trade licence, bank details, cancelled cheque, address proof, firm/company registration documents and other applicable records.
• Ensure that all dealer/distributor records are complete, accurate and updated.
• Maintain physical and digital records of dealer/distributor documentation.
• Track pending, incomplete or expired documents and follow up for timely closure.
• Ensure proper filing and indexing of documents for easy retrieval and audit purposes.

Field Verification

• Conduct physical verification of dealer/distributor premises, business operations and other details wherever required.
• Validate information submitted by channel partners against actual field conditions.
• Report discrepancies or irregularities to the reporting manager for necessary action.

Coordination & Follow-up

• Coordinate with Sales, Finance, Commercial, Legal and other relevant departments for dealer/distributor documentation and approval.
• Follow up with dealers/distributors for pending documents, corrections and additional information.
• Support the Sales Team in resolving documentation-related issues during onboarding and ongoing business operation
