Export Documentation Executive

Job Summary

We are looking for an experienced Export Documentation Executive with mandatory hands-on experience in SAP software to manage export documentation, shipment coordination, and export-related commercial activities. The candidate should have a good understanding of international trade procedures and export documentation requirements.

Key Responsibilities

• Prepare and verify export documents, including Commercial Invoices, Packing Lists, Shipping Bills, Bills of Lading, and Certificates of Origin.
• Process export sales orders, delivery documents, and billing in SAP.
• Generate export invoices and packing lists through SAP as per company procedures.
• Coordinate with freight forwarders, Customs House Agents (CHAs), shipping lines, banks, and internal departments.
• Handle Letter of Credit (LC) documentation and bank-related export documents.
• Coordinate shipment schedules, container bookings, and dispatches.
• Ensure timely submission of export documents and compliance with applicable export regulations.
• Maintain accurate records of export shipments and documentation.
• Follow up on shipment status, document discrepancies, and payment-related matters.
• Coordinate with the sales, logistics, finance, and production teams to ensure smooth export operations.

Required Skills

• Mandatory hands-on experience in SAP SD or the relevant SAP module used for export order processing and billing.
• Practical experience in export documentation and international shipping procedures.
• Knowledge of Commercial Invoices, Packing Lists, Shipping Bills, Bills of Lading, and Certificates of Origin.
• Understanding of Incoterms, Letter of Credit (LC), and export payment terms.
• Experience coordinating with CHAs, freight forwarders, shipping lines, and banks.
• Good communication, coordination, and documentation skills.
• Proficiency in MS Excel and other MS Office applications.

Experience

Relevant experience in export documentation with hands-on SAP usage. The required years of experience can be specified according to the company's hiring needs.

Mandatory Requirement

Candidates must have practical working experience in SAP for export-related order processing, delivery documentation, and billing. Candidates with only theoretical SAP knowledge will not be preferred.
