1. Job Purpose
To monitor and expedite the manufacturing, inspection, documentation, and delivery of boiler components, oil & gas equipment, piping materials, and other engineering parts from vendors and suppliers. The role ensures timely delivery in accordance with project schedules, purchase orders, approved technical specifications, and quality requirements.

2. Key Responsibilities
A. Vendor Expediting and Follow-up

• Follow up with vendors and suppliers for timely execution of purchase orders and delivery commitments.
• Monitor manufacturing progress, material procurement, fabrication, assembly, and dispatch schedules.
• Conduct regular telephone, email, and in-person follow-ups with vendors to ensure on-time delivery.
• Coordinate with vendors to identify delays, bottlenecks, and critical material shortages.
• Prepare and maintain vendor-wise expediting schedules and delivery status reports.
• Escalate critical delays to the procurement manager and project team and recommend recovery plans.

B. Boiler and Oil & Gas Parts Coordination
Expedite the supply of the following materials and equipment, as applicable:

• Boiler pressure parts: water walls, superheaters, reheaters, economizers, headers, and steam drums.
• Boiler accessories: burners, valves, pumps, fans, dampers, and related equipment.
• Pressure vessels, heat exchangers, columns, and storage tanks.
• Piping materials, fittings, flanges, gaskets, and pipe supports.
• Valves, actuators, strainers, and instrumentation items.
• Structural steel, fabricated components, and skid-mounted equipment.
• Oil & gas process equipment, spares, and other mechanical components.

C. Technical and Quality Coordination

• Coordinate with engineering, quality assurance/quality control (QA/QC), inspection agencies, and vendors to resolve technical and manufacturing issues.
• Track submission and approval of drawings, material specifications, inspection and test plans (ITPs), and other required documents.
• Follow up on material test certificates (MTCs), inspection reports, welding documentation, and other quality records, as applicable.
• Coordinate inspection calls, third-party inspections (TPI), factory acceptance tests (FAT), and release notes wherever required by the purchase order.
• Ensure vendors comply with applicable project specifications, codes, standards, and approved quality requirements.

D. Procurement and Project Coordination

• Review purchase orders, delivery schedules, and contractual milestones to establish expediting priorities.
• Coordinate with procurement team, engineering, QA/QC, logistics, and project management teams of client.
• Support vendor and Client meetings and progress review meetings.
• Verify that required documentation is available before dispatch, in coordination with the concerned departments.

E. Reporting and Documentation

• Prepare daily, weekly, and monthly vendor progress reports.
• Maintain a critical items list and highlight overdue and at-risk deliveries.
• Update procurement tracking systems with the latest vendor status.
• Prepare expediting reports, delay analysis, and recovery action plans.
• Maintain records of vendor correspondence, inspection status, and dispatch documentation.

3. Required Qualifications

• Diploma or Bachelor's degree in Mechanical Engineering.
• Relevant experience in procurement expediting, vendor coordination, or supply chain management.
• Experience in boiler manufacturing, power plants, oil & gas, EPC projects, or industrial equipment procurement is preferred.

4. Required Skills and Competencies

• Strong vendor follow-up and communication skills.
• Good understanding of manufacturing, fabrication, and inspection processes.
• Ability to read and understand purchase orders, technical specifications, drawings, and delivery schedules.
• Knowledge of boiler components, pressure parts, piping materials, valves, and mechanical equipment.
• Proficiency in Microsoft Excel, Word, and email correspondence.
• Strong planning, reporting, negotiation, and problem-solving skills.
• Ability to manage multiple vendors and prioritize critical materials.
• Willingness to travel to vendor manufacturing facilities when required.
