Executive Assistant

Role & responsibilities

• Manage executive calendars, appointments, meetings, and schedules efficiently.
• Handle end-to-end business travel arrangements, including flights, hotels, transportation, and itineraries.
• Prepare accurate Minutes of Meetings (MoM) and follow up on action points to ensure timely closure.
• Manage vendor registration, onboarding, documentation, and coordination.
• Support sales and marketing operations, including data management, MIS, reporting, and coordination.
• Prepare Excel for billing-related documentation and coordinate with relevant teams for reimbursement. 
• Create professional PowerPoint presentations (PPTs), management reports, and business updates.
• Coordinate with various internal departments and external stakeholders to ensure smooth execution of business activities.
• Maintain confidentiality of management information and ensure timely completion of assigned tasks.
• Knowledge and practical working experience with AI tools, particularly Claude, will be preferred.

• Good proficiency in MS Office, especially Excel and PowerPoint.
• Ability to multitask, prioritize, and work independently.
• Strong attention to detail and follow-up skills.
• Comfortable using AI-powered productivity and business tools.
