Job Summary:

We Pebble Street Hospitality are looking for an Executive Assistant to the Chief Culinary Officer (CCO) to provide high-level administrative, coordination and operational support to the Culinary Leadership team. The role will also support kitchen recruitment, candidate sourcing, screening and interview coordination for culinary positions across restaurant outlets.

The ideal candidate should have strong communication, coordination, MS Excel, MIS reporting and recruitment screening skills, with a good understanding of restaurant and kitchen operations.

Key Responsibilities:

• Manage the CCO's calendar, meetings, appointments, travel plans and daily schedules.
• Coordinate with Executive Chefs, Sous Chefs, Kitchen heads, Restaurant Managers, HR and Operations teams.
• Prepare MIS reports, presentations, meeting minutes, trackers and culinary-related reports.
• Maintain confidential documents, records and databases related to the Culinary Department.
• Track kitchen manpower requirements, vacancies, recruitment status and joining updates.
• Source and screen candidates for culinary positions.
• Conduct preliminary screening calls to assess candidates on experience, cuisine knowledge, current role, salary expectations, notice period and location preference.
• Shortlist suitable kitchen candidates for interviews with the CCO and Culinary team.
• Coordinate interview schedules, candidate communication, feedback and follow-ups.
• Maintain and regularly update the kitchen recruitment tracker and candidate database.
• Assist with culinary projects, training initiatives, SOP documentation, audits and presentations.
• Support the CCO with day-to-day administrative and operational requirements.
• Ensure timely follow-up and closure of assigned tasks with relevant stakeholders.

Candidate Profile:

• 1–3 years of experience as an Executive Assistant, Personal Assistant, Recruitment Executive, HR Executive, HR Coordinator, Culinary Coordinator or similar role.
• Candidates from Restaurants, Hotels, Hospitality, Food & Beverage or QSR industries will be preferred.
• Experience in screening kitchen/chef candidates is highly desirable.
• Good understanding of restaurant hierarchy, kitchen positions and culinary operations.
• Strong written and verbal communication skills.
• Proficiency in MS Excel, MS Word, PowerPoint and Google Workspace.
• Excellent organisational skills with the ability to manage multiple tasks and deadlines.
• High level of confidentiality, professionalism and attention to detail.
