Executive Assistant To Director Medical Services

Job Summary

We are looking for a highly organized and proactive Executive Assistant Medical Services to provide comprehensive administrative and coordination support to the Director. The role involves coordinating with clinical departments, consultants, hospital leadership, and support functions while ensuring effective follow-up and execution of key medical services activities.

Preferred candidate profile

• Provide end-to-end administrative and executive support to the Director Medical Services.
• Coordinate with consultants, clinical departments, nursing, operations, HR, quality, and other hospital functions on behalf of the Director.
• Schedule and coordinate meetings, appointments, hospital rounds, reviews, conferences, and other official engagements.
• Prepare meeting agendas, Minutes of Meetings (MOM), presentations, MIS reports, dashboards, and action trackers.
• Track decisions and action points from meetings and ensure timely follow-up and closure with respective departments.
• Coordinate and document the Director’s hospital rounds, observations, recommendations, and departmental action points.
• Prepare official communications, letters, circulars, notices, emails, and other documents for the Director's review.
• Maintain confidential records, reports, correspondence, and important medical administration documents.
• Coordinate with departments to collect data and prepare periodic reports for management review.
