Event Venue Manager

Role & responsibilities

Venue Sourcing & Booking

• Source and secure suitable venues for corporate events globally.
• Handle venue inquiries, availability checks, reservations, and confirmations.
• Negotiate commercial terms, pricing, and contractual agreements with hotels and venue partners.
• Maintain an updated database of approved venues and preferred vendor partners.

Client & Internal Coordination

• Collaborate with the Sales and Client Servicing teams to understand event objectives, budgets, and operational requirements.
• Recommend venue options based on event specifications, location, capacity, and budget.
• Prepare venue proposals, quotations, contracts, and booking documentation.

Venue Operations & Event Support

• Coordinate with venue teams to ensure all event requirements are fulfilled prior to the event.
• Liaise with catering, housekeeping, security, technical, and operations teams for seamless execution.
• Resolve venue-related operational issues before and during events.
• Ensure service standards and contractual commitments are met.

Vendor Relationship Management

• Build and maintain long-term relationships with hotels, banquet venues, convention centres, stadiums, and entertainment venues.
• Conduct regular virtual and in-person meetings with hotel and venue partners.
• Stay updated on new venue offerings, renovations, pricing trends, and service capabilities.
• Conduct venue inspections and familiarisation visits where required.

Systems & Reporting

• Maintain accurate booking records and vendor information through the company's CRM system.
• Track venue costs, contracts, and payment schedules.
• Generate periodic reports on bookings, vendor performance, and cost efficiencies.
