    About this role

Job Description In-House Event Coordinator & MC

    Job Title

Event Coordinator & Master of Ceremonies (MC)

    Department

Marketing / Brand Promotions / Events

    Location

    Visakhapatnam, Andhra Pradesh

    Employment Type

    Full-Time

    Role Overview

We are looking for an experienced, high-pressure-resilient Event Coordinator & MC to plan, coordinate, execute, and host company events, promotional activities, product launches, customer engagement programs, and brand activation campaigns. This is a dual-responsibility role requiring both strategic event management expertise and confident on-stage hosting capability.

The candidate will manage end-to-end event execution while maintaining composure during unexpected challenges, vendor issues, and live audience interaction in high-stakes scenarios. You will be the operational backbone and face of Wheatrich Foods Group at every customer touchpoint event.

    Key Responsibilities

    1. End-to-End Event Planning & Coordination

    • Own the complete event lifecycle: conceptualization, planning, vendor coordination, execution, and post-event analysis
    • Develop detailed event timelines, run sheets, contingency plans, and risk mitigation strategies
    • Coordinate all technical requirements: venue, stage setup, lighting, sound systems, LED screens, photography, videography, and seating arrangements
    • Negotiate vendor contracts and manage performance delivery (decorators, DJs, photographers, performers, sound technicians)
    • Conduct pre-event site inspections, technical rehearsals, and sound checks
    • Manage event budgets, procurement approvals, and vendor payments
    • Maintain a curated database of reliable, vetted vendors and service providers

    2. MC / Hosting & Live Event Performance

    • Host and anchor events with confident stage presence and professional delivery
    • Welcome and engage customers, employees, VIPs, and dignitaries authentically
    • Introduce speakers, performers, competitions, product launches, and promotional moments
    • Maintain high-energy audience engagement throughout the event duration
    • Facilitate interactive activities: games, contests, lucky draws, quizzes, and live competitions
    • Deliver clear, impactful promotional announcements aligned with brand messaging
    • Coordinate seamlessly with technical crew (sound, lighting) and event team during live execution
    • Manage unexpected scenarios professionally: handle performer no-shows, technical failures, schedule delays, VIP changes, or crowd management issues without disrupting audience experience

    3. Retail & Promotional Event Execution

    • Coordinate festival campaigns, store openings, anniversary celebrations, and customer engagement programs at retail outlets
    • Drive footfall and customer participation through strategic live engagement activities
    • Execute product sampling, promotions, and new product launch activations
    • Support retail teams to maximize customer interaction and promotional response during events
    • Coordinate distribution of promotional materials, samples, coupons, vouchers, and gifts
    • Document customer participation, engagement metrics, and promotional effectiveness

    4. Event Content & Scripting

    • Prepare event scripts, MC talking points, and stage flow sequences
    • Develop opening remarks, introductions, transitions, promotional announcements, and closing segments
    • Ensure all on-stage communication aligns with brand guidelines and marketing objectives
    • Adapt content for different audience types (B2B, customer, employee, community)
    • Create backup scripts and contingency talking points for unexpected changes

    5. Crisis Management & Problem Solving

    • Anticipate potential event risks and develop mitigation strategies pre-event
    • Handle real-time operational issues: vendor delays, equipment failures, no-shows, weather changes, or crowd control challenges
    • Make quick, sound decisions under pressure without escalating to management for every issue
    • Communicate changes to team and audience with professionalism and confidence
    • Document issues and recommend process improvements post-event

    6. Social Media & Content Coordination

    • Coordinate with content creation teams during events to identify Instagram Reels, Stories, and video opportunities
    • Conduct live interviews with customers, employees, performers, or influencers
    • Participate in promotional videos and branded content when required
    • Ensure event-generated content supports marketing campaigns and social media calendars
    • Assist in real-time social media updates during major events

    Required Skills & Competencies

    Essential:

    • 2–4 years of hands-on experience in event management, anchoring, or MC work (non-negotiable)
    • Exceptional public speaking and stage presence
    • Ability to think and act quickly under pressure in live environments
    • Strong vendor management and negotiation skills
    • Excellent organizational and time-management skills
    • Proficiency in multitasking and prioritization
    • Professional appearance, grooming, and communication standards
    • Proven ability to manage event budgets and vendor documentation

    Highly Desirable:

    • Background in radio/television presenting, hospitality, or corporate events
    • Knowledge of social media content creation and promotional strategies
    • Familiarity with event management software or scheduling tools

    Language Requirements

    Essential:

    • Fluent Telugu and English (confident in both languages)
    • Ability to switch naturally between Telugu and English during live events

    Desirable:

    • Hindi proficiency for broader audience reach

    Qualifications

    • Education: Graduate in any discipline (Event Management, Mass Communication, Journalism, Marketing, Hospitality, or Media preferred, but not mandatory)
    • Experience: Minimum 2–4 years in event management, anchoring, MC work, or related customer-facing event roles
    • Track Record: Demonstrated success coordinating and hosting events for audiences of 100+ people

    • Self-aware: Understands the emotional labor of customer engagement and manages energy accordingly

    • Professional development in event management and brand strategy

    Interview Assessment Approach

    Candidates should be evaluated on:

    1. Previous event portfolio: Ask for 3–5 event examples they've coordinated/hosted. What went wrong? How did they handle it?
    2. Pressure scenarios: Present hypothetical crisis situations (performer cancellation 1 hour before event, sound system failure, VIP changes last minute). Assess decision-making and composure.
    3. MC audition: Request a 3–5 minute on-stage performance or presentation to assess stage presence, voice modulation, audience engagement capability
    4. Vendor management examples: Ask about negotiating vendor rates, managing difficult vendors, and building supplier relationships
    5. Cultural fit: Assess flexibility, resilience, and genuine enthusiasm for customer interaction (not just performing, but authentic engagement)
