    • Coordinate product sampling, quality checks and supplier approvals before bulk procurement.
    • Negotiate product pricing, payment terms, credit periods, MOQs and delivery schedules.
    • Develop and maintain strong vendor relationships to ensure consistent product availability and competitive pricing.

    2. Import & Customs Clearance Management

    • Coordinate end-to-end import shipments from China to India, working closely with freight forwarders and Customs House Agents (CHAs).
    • Coordinate preparation and verification of import documents, including:
      • Commercial Invoice
      • Packing List
      • Bill of Lading (BL) / Air Waybill (AWB)
      • Certificate of Origin (COO), wherever applicable
      • Insurance Certificate
      • Bill of Entry (BOE)
      • Product-specific licences, certificates and regulatory documents, wherever applicable.
    • Coordinate with CHAs for customs documentation, assessment, clearance and shipment release.
    • Understand and coordinate HS Code / HSN classification and verify the applicable customs duty structure for imported products.
    • Have working knowledge of Basic Customs Duty (BCD), Social Welfare Surcharge (SWS), Integrated GST (IGST), Anti-Dumping Duty and other applicable import levies.
    • Coordinate verification of assessable value and customs duty calculations with the CHA.
    • Track customs duty payments, clearance status and shipment release timelines.
    • Follow up on customs queries, document discrepancies, shipment holds and clearance delays.
    • Maintain import records, customs documents and duty-payment details for finance and audit purposes.
    • Monitor detention, demurrage and other avoidable import-related expenses.

    3. Freight & Logistics Coordination

    • Coordinate air and sea freight shipments from China and domestic transportation within India.
    • Obtain and compare freight quotations from shipping lines, freight forwarders and logistics partners.
    • Understand basic Incoterms such as EXW, FOB, CIF and DDP and coordinate shipments based on agreed commercial terms.
    • Track shipments from supplier dispatch to warehouse delivery.
    • Coordinate with logistics partners, transporters, forwarders and warehouse teams to ensure timely delivery.
    • Monitor transit timelines, freight costs and shipment-related expenses.

    4. Procurement & Vendor Management

    • Prepare and process purchase orders (POs) based on sourcing requirements and inventory plans.
    • Follow up with suppliers on order confirmation, production status, dispatch readiness and delivery schedules.
    • Monitor supplier performance in terms of pricing, quality, lead time and delivery commitments.
    • Maintain vendor databases, quotation records, purchase orders and procurement documentation.
    • Identify opportunities for cost reduction without compromising product quality.

    5. Inventory & Supply Chain Planning

    • Monitor stock levels and coordinate replenishment to prevent stock-outs and overstocking.
    • Coordinate with category, procurement and warehouse teams for SKU-wise inventory planning.
    • Track demand forecasts, stock ageing, reorder levels and supplier lead times.
    • Maintain shipment, inventory and purchase tracking reports.
    • Monitor supply chain KPIs such as OTIF, fill rate, lead time and delivery accuracy.
    • Ensure smooth coordination between sourcing, procurement, warehousing and e-commerce operations.

    6. Costing, Reporting & Documentation

    • Prepare product-wise landed cost calculations, including product cost, freight, insurance, customs duties, clearance charges and local transportation.
    • Compare supplier quotations and analyse overall procurement costs.
    • Maintain accurate records of import expenses, customs duties, freight charges and vendor payments.

    • Excellent verbal and written communication skills.
    • Good command of MS Excel, including data analysis, costing and reporting.
    • Experience with ERP, inventory management or supply chain management systems is preferred.
    • Strong coordination, follow-up, problem-solving and multitasking abilities.

    Key Competencies:

    • Excellent communication and interpersonal skills.
    • Strong negotiation and vendor management capabilities.
    • Attention to detail in documentation and cost calculations.
    • Ability to coordinate with international suppliers and multiple stakeholders.
    • Ownership of sourcing and shipment timelines.
    • Analytical thinking and cost-conscious decision-making.
    • Ability to work in a fast-paced e-commerce environment.

    Preferred Candidate Profile:

We are particularly looking for candidates who have:

    • Worked directly with manufacturers or suppliers in China and India.

    • Regularly coordinated with CHAs, customs brokers and freight forwarders.
    • Practical exposure to customs duty calculations and import clearance documentation.
    • Managed end-to-end procurement and shipment tracking rather than only warehouse or domestic logistics operations.
