Dispatch- Senior Engineer

Key Responsibilities

Dispatch & Logistics

• Manage day-to-day dispatch operations and ensure timely and accurate dispatch of materials/vehicles.
• Coordinate with Production, Warehouse, PPC, Sales, Logistics and Transporters for dispatch planning.
• Prepare and verify dispatch-related documents, invoices, packing lists, e-way bills and other required documentation.
• Monitor vehicle/material movement and ensure timely delivery.
• Track dispatch schedules, pending shipments and delivery status.
• Resolve dispatch discrepancies, documentation issues and transportation-related concerns.

Customs & Import Compliance

• Handle customs documentation and compliance for import/export shipments.
• Manage and verify BOE (Bill of Entry), IGM (Import General Manifest), IGCR documentation and related customs records.
• Prepare and maintain customs checklists and ensure completeness of supporting documents.
• Verify and validate HS Codes, product classification and applicable customs duties.
• Coordinate with Customs Brokers (CHA), freight forwarders and relevant authorities for clearance activities.
• Ensure compliance with applicable customs procedures, notifications and regulatory requirements.

Export Documentation & Compliance

• Handle Export Shipping Bills, export documentation and shipment coordination.
• Manage documentation related to EPCG (Export Promotion Capital Goods) and ensure compliance with applicable conditions.
• Handle Duty Scripts / duty remission benefits and related documentation.
• Manage Drawback claims, documentation and follow-up for timely realization.
• Coordinate with freight forwarders, CHA and internal finance/commercial teams for export clearance and documentation.
• Maintain proper records of import/export transactions for audit and compliance purposes.

Audit & Compliance

• Support and coordinate internal, external and customs-related audits.
• Ensure availability and accuracy of import/export and dispatch records during audits.
• Identify compliance gaps and implement corrective actions.
• Maintain proper documentation and records for statutory and regulatory requirements.
• Ensure timely closure of audit observations and maintain compliance trackers.

MIS & Reporting

• Prepare regular MIS reports related to dispatch, import/export shipments, customs clearance and pending documentation.
• Track BOE, IGM, IGCR, Shipping Bills, Drawback, EPCG and other compliance-related activities.
• Maintain shipment-wise documentation and reconciliation records.
• Monitor pending claims, duties, documents and compliance activities. Key Skills
