Dispatch Executive

We are looking for a responsible and organized Dispatch Executive to manage day-to-day dispatch activities, coordinate with customers, transporters and the internal team, and ensure timely and accurate delivery of goods.

Key Responsibilities

- Prepare and coordinate daily dispatches as per customer orders.

- Check quantity, product details and packaging before dispatch.

- Prepare/verify Tax Invoice, Delivery Challan, E-Way Bill and E-Invoice wherever applicable.

- Coordinate with the Sales, Accounts, Warehouse and Production teams for dispatch requirements.

- Coordinate with transporters/drivers regarding vehicle availability and loading schedules.

- Ensure the correct goods are loaded against the respective invoice/order.

- Maintain dispatch records, vehicle details and delivery information.

- Share dispatch details with customers and concerned internal team.

- Track dispatched material and follow up for delivery confirmation/POD.

- Handle any shortage, damage, wrong delivery or transportation-related issues and report them to the concerned department.

- Maintain proper documentation and filing of dispatch-related records.

- Prepare daily/weekly dispatch reports in Excel.

- Ensure dispatches are completed within the scheduled timeline.

- Coordinate with Accounts for any invoice/payment-related dispatch requirements.

- Follow company procedures related to inventory, documentation and dispatch control.

Required Skills

- Good knowledge of Excel and MS Office.

- Good communication and coordination skills.

- Ability to manage multiple dispatches and follow up with transporters.

- Good attention to detail.

- Knowledge of Tally/ERP/Zoho will be an added advantage.

- Ability to work under pressure and meet dispatch deadlines.
