Diamond Job Work Coordinator

Job Purpose

To coordinate the complete diamond job work process, from collecting diamond requirements and arranging grading to issuing diamonds to external vendors and receiving finished jewellery. The role ensures accurate diamond counting, proper documentation, timely vendor coordination, and reconciliation of stones issued and received.

Key Responsibilities

Diamond Requirement and Grading Coordination

• Collect diamond requirements for each job, including design, shape, sieve size, quantity, and quality.
• Communicate requirements clearly to diamond graders and ensure diamonds are prepared as per specifications.
• Coordinate grading, sorting, and segregation of diamonds sieve-size-wise.
• Verify diamond quantities and carat weights before issuing them for job work.

Vendor Coordination and Job Work Management

• Coordinate with external diamond job work vendors for timely supply and delivery.
• Follow up with vendors to ensure job work is completed within agreed timelines.
• Issue graded diamonds to vendors with proper documentation and signed issue slips.
• Maintain regular communication with vendors regarding job status, delays, and pending deliveries.

Diamond Issue and Receipt Management

• Record diamond quantities sieve-size-wise, including piece counts and carat weights.
• Maintain accurate records of diamonds issued to each vendor.
• Receive finished jewellery item-wise and count the stones set in each piece.
• Reconcile the stones received in finished jewellery against the quantities issued.
• Identify and report shortages, breakages, excess stones, or other discrepancies on the same day.
• Coordinate with vendors to resolve mismatches before closing each job work order.

Rework and Documentation

• Coordinate the return of jewellery pieces requiring rework and maintain proper tracking records.
• Follow up on pending rework until the corrected pieces are received and verified.
• Maintain daily diamond issue registers, receipt registers, and job work tracking records.
• Update Excel sheets or inventory software with accurate and timely information.
• Prepare regular reports on pending jobs, vendor delays, rework, and stock discrepancies.
• Support stock reconciliation and provide records required by the Diamond Department, Production, and Accounts teams.

Required Skills and Competencies

• Knowledge of diamond sieve sizes, piece counts, and carat weight.
• Basic knowledge of diamond grading and sorting processes.
• Ability to use a digital carat weighing scale.
• Strong numerical accuracy and attention to detail.
• Good record-keeping, documentation, and reconciliation skills.
• Vendor coordination and follow-up skills.
• Basic knowledge of MS Excel and inventory management software.
• Good communication skills in Telugu, Hindi, and basic English.
• Ability to manage multiple job work orders and meet deadlines.
• High level of integrity, discipline, and accountability while handling high-value diamonds.

Educational Qualification

• Graduate or Intermediate (12th pass).
• A diploma or certification in diamond grading, jewellery manufacturing, or a related field will be an added advantage.

Experience Requirements

• 1-3 years of experience in a jewellery manufacturing unit, diamond department, or diamond job work/vendor coordination role.
• Freshers with a strong understanding of diamond basics and good numerical skills may also be considered.
