Diamond Buyer & Inventory Control Manager

Role & responsibilities

We are looking for an experienced Diamond Buyer & Inventory Control Manager to manage end-to-end diamond procurement, supplier relationships, inventory planning and inventory control.

The ideal candidate should have strong practical knowledge of natural and/or lab-grown diamonds, diamond grading, 4Cs, certification, pricing, supplier management and inventory management. The role requires ensuring the right quality and assortment of diamonds at competitive prices while maintaining high inventory accuracy and optimizing working capital.

Diamond Buying & Procurement

• Source and purchase diamonds based on sales, production and inventory requirements.
• Evaluate diamonds based on shape, carat, colour, clarity, cut, polish, symmetry, fluorescence and proportions.
• Verify GIA, IGI, HRD and other relevant certificates and ensure physical stones match certification details.
• Compare supplier quotations and prevailing market prices.
• Negotiate prices, discounts, credit terms, payment terms, delivery timelines and return/buy-back conditions.
• Develop and maintain strong relationships with diamond manufacturers, wholesalers and suppliers.
• Monitor market pricing, availability and trends to identify competitive buying opportunities.
• Ensure purchases meet company quality, pricing and margin requirements.
• Maintain complete purchase documentation, quotations, invoices and supplier records.

Inventory Control

• Take complete ownership of diamond inventory accuracy and control.
• Monitor inward, outward, transfers, sales, returns, memo, issues and adjustments.
• Maintain inventory by shape, size, carat, colour, clarity, certification and SKU.
• Conduct regular physical stock verification and system reconciliation.
• Investigate and resolve inventory discrepancies and stock variances.
• Monitor stock ageing, slow-moving and non-moving inventory.
• Establish appropriate minimum and maximum stock levels and replenishment requirements.
• Ensure optimum inventory availability while minimizing unnecessary working-capital blockage.
• Ensure proper segregation, tagging and secure handling of high-value diamond inventory.

Inventory Planning & Forecasting

• Analyse sales trends, customer requirements and historical consumption.
• Prepare inventory forecasts and purchasing plans.
• Coordinate with Sales, Merchandising, Production, QC, Finance and Logistics teams.
• Ensure availability of fast-moving and core diamond assortments.
• Identify potential shortages and excess inventory proactively.
• Recommend stock transfers, supplier returns, markdowns or liquidation of ageing inventory, where appropriate.
• Improve inventory turnover and optimize working capital.

• Slow & Non-Moving Stock Report
• Stock Variance & Reconciliation Report
• Supplier Performance Report
• Purchase Price Analysis
• Inventory Turnover Report
• Stock Requirement & Replenishment Report
• Monthly Management MIS/Dashboard

Systems & Analytics

• Maintain accurate procurement and inventory records in ERP/MIS systems.
• Use Advanced MS Excel, including Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS and dashboard preparation.
• Power BI experience will be an advantage.
• Analyse procurement and inventory data to support management decision-making.

Preferred candidate profile

• Graduate in Commerce, Business, Supply Chain Management or a related discipline.
• 5+ years of experience in diamond buying, diamond trading, jewellery manufacturing or inventory management.
• Strong practical knowledge of diamond grading, assortments and pricing.
• Experience in sourcing natural and/or lab-grown diamonds.
• Knowledge of GIA/IGI-certified diamonds preferred.
• Established supplier/manufacturer network preferred.
• Strong negotiation and commercial skills.
• Excellent analytical and numerical ability.
• Advanced MS Excel and ERP/MIS knowledge.
• Strong communication and cross-functional coordination skills.
• High level of integrity and ability to handle high-value inventory with accuracy and confidentiality.
