Commercial Operations Executive/Manager

We are looking for a detail-oriented and proactive Commercial Operations Executive/Manager - Sales, Invoicing & Collections to manage day-to-day sales coordination, order processing, invoicing, customer coordination and collections activities.

The role will involve close coordination with sales, purchase, warehouse, logistics, suppliers, customers and accounts/finance teams to ensure smooth order execution and timely collections.

Key Responsibilities

• Handle day-to-day commercial and sales coordination activities for customers and suppliers.
• Process and maintain customer Purchase Orders (POs), sales orders and related documentation.
• Coordinate with sales, purchase, warehouse, logistics and accounts teams for timely order execution.
• Prepare, verify and coordinate customer invoices based on POs, sales orders, dispatch details and agreed commercial terms.
• Ensure invoices are shared with customers promptly and maintain proper invoice records.
• Track outstanding invoices and conduct regular payment follow-up through calls, emails and other communication channels.
• Maintain customer outstanding and ageing statements.
• Provide regular updates to management on collections, overdue payments and pending commercial activities.
• Coordinate with accounts/finance teams for payment receipt updates, ledger reconciliation and invoice-related issues.
• Follow up with customers regarding PO revisions, invoice discrepancies, credit notes, delivery documents and payment status.
• Coordinate supplier POs and related documentation with internal purchase teams.
• Check quantities, pricing and agreed commercial terms before processing orders.
• Maintain organised records of POs, sales orders, invoices, delivery documents and customer correspondence.
• Prepare MIS/reports related to sales orders, invoicing, receivables, collections and pending activities.
• Support the sales team in quotation preparation, order processing and customer documentation.
• Handle customer queries related to orders, invoices, deliveries and payments.
• Coordinate with relevant internal departments to resolve customer issues.
• Work with B2B products including food ingredients, stabilizers, emulsifiers, cleaning chemicals, packaging materials and related products.

Desired Candidate Profile

• Graduate in any discipline; B.Com / BBA / MBA preferred.
• Minimum 2 years of experience in commercial operations, sales coordination, order processing, invoicing, accounts receivable or a similar B2B role.
• Experience in food ingredients, chemicals, packaging, FMCG, trading or distribution is preferred.
• Strong understanding of Purchase Orders, sales orders, invoice processing and payment follow-up.
• Good communication and interpersonal skills.
• Strong follow-up and coordination skills.
• Ability to independently track pending orders, invoices and collections.
• Good working knowledge of MS Excel and MS Office.
• Experience with ERP/accounting software will be an advantage.
• Strong numerical, documentation and organisational skills.
• Accurate and detail-oriented approach.
• Ability to coordinate effectively with sales, purchase, warehouse, logistics and finance teams.
