Role Summary

At Media World Experiential Marketing, we create high-quality event setups and experiences across the country. We’re looking for a hands-on and technically strong Operations & Production Executive who can take charge of the execution and make sure everything goes smoothly on the ground. In this role, you’ll work closely with vendors, production teams, and internal teams to turn event designs and 3D concepts into actual setups. You’ll manage on-site logistics, coordinate with vendors, solve issues quickly, and make sure the event is delivered on time, as planned, and within budget.

Key Responsibilities

• Vendor Sourcing & Cost Management: Find and coordinate with local and national vendors for fabrication, props, materials, and other event requirements while getting the best possible prices.
• On-Site Event Execution: Supervise event setup and fabrication at the venue, including wood/MDF work, stage structures, branding, and placement of event elements as per the approved design.
• Logistics & Transportation: Manage transportation, freight, courier, and material movement to ensure all event materials reach the venue safely and on time.
• Budget & Expense Management: Handle project cash advances responsibly, maintain proper expense records, submit vouchers on time, and collect vendor bills after the event.
• Team Coordination: Work closely with Client Servicing, Design, Production, and other internal teams to ensure smooth communication and execution throughout the project.
• On-Ground Problem Solving: Quickly identify and resolve on-site issues to ensure the event setup is completed smoothly and as planned.

Required Skills & Qualifications

• Event & Production Knowledge: Good practical knowledge of event fabrication, production timelines, materials, truss structures, lighting, branding, and large-format setups.
• Vendor Management: Ability to find reliable vendors, negotiate prices, and maintain good working relationships with suppliers.
• Problem-Solving Skills: Ability to quickly identify issues on-site and find practical solutions without affecting the event timeline.
• Time Management: Ability to manage multiple tasks, vendors, and deadlines while ensuring the setup is completed on time.
• Attention to Detail: Strong eye for detail to ensure the final setup matches the approved design and quality standards.
• Work Under Pressure: Comfortable working in fast-paced event environments, including long hours and tight deadlines.
• Teamwork: Ability to work well with Client Servicing, Design, Production, and Operations teams to ensure smooth event execution.
