Business Operations Executive

Role Description-The Business Operations Executive is a Full-time role focused on supporting efficient, compliant, and scalable business processes across DQS operations. This role involves coordinating daily operational activities, monitoring workflows, and assisting with the implementation and documentation of process improvements. The Business Operations Executive will work closely with cross-functional teams to track key performance metrics, prepare operational reports, and maintain accurate records in relevant systems. Responsibilities also include supporting project coordination, assisting with resource planning, and helping ensure adherence to internal policies and external regulatory requirements. The role requires proactive communication with stakeholders, timely issue resolution, and continuous identification of opportunities to enhance productivity and service quality.

Key Responsibilities:

1. Quotation Management

• Prepare and generate customer quotations based on sales team requirements.
• Ensure quotations are accurate and comply with company pricing guidelines and approval processes.
• Coordinate with sales personnel for necessary customer and commercial information.
• Maintain quotation records and version control.
• Track quotation status and support follow-up activities.

2. CRM & MIS Reporting (HubSpot)

• Download and extract sales reports from HubSpot CRM.
• Generate daily, weekly, and monthly MIS reports.
• Verify data accuracy before publishing reports.
• Share MIS reports with the Sales Head and management as per defined schedules.

3. Sales Performance Tracking

• Monitor lead progression across different sales stages.
• Track quote-to-order conversion rates.
• Analyze sales funnel performance and identify gaps.
• Highlight overdue opportunities and inactive leads for sales follow-up

4. Data Management & Administration

• Maintain data integrity within HubSpot CRM.
• Ensure customer records, contacts, opportunities, and deal information are updated regularly.
• Support CRM housekeeping and data cleansing activities.
• Generate ad hoc reports requested by management.

5. Cross-Functional Coordination

• Coordinate with Sales, Finance, Operations, and Customer Service teams.
• Support business reviews and management meetings through report preparation.
• Assist in sales forecasting and pipeline reviews.

Required Skills & Competencies

Technical Skills

• HubSpot CRM reporting and dashboard management.
• Advanced Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, Charts, Data Analysis).
• Microsoft PowerPoint and Word.
• Data analysis and reporting.

Educational Qualification

• Graduate in Business Administration, Commerce, Management, or related field.
