Billing / MIS / EMD Recovery Executive

Role & Responsibilities

1. Billing & Invoicing

• Prepare and process client invoices as per contract terms, LOAs, amendments, and project billing milestones.
• Verify billing data, supporting documents, certifications, and approvals before invoice submission.
• Coordinate with Sales, Project, Finance, and Commercial teams to ensure timely client billing.
• Track billed, unbilled, and pending invoices to support timely revenue realization.
• Resolve billing discrepancies and maintain accurate billing records.

2. MIS Reporting

• Prepare daily, weekly, and monthly MIS reports for management review.
• Generate project-wise and client-wise reports related to billing, collections, outstanding receivables, project status, and EMD recovery.
• Maintain billing trackers, receivables aging reports, and recovery status reports.
• Analyze data and provide accurate inputs to support management decisions and revenue planning.
• Ensure timely submission and accuracy of all management reports using MS Excel

3. EMD Tracking & Recovery

• Maintain records of EMD submissions, bid security, performance bank guarantees, security deposits, and retention money.
• Track tender status and identify EMDs and deposits eligible for refund or release.
• Coordinate with clients, procurement departments, and Finance teams for timely recovery of EMDs and release of bank guarantees.
• Follow up regularly on pending refunds and outstanding recoveries.
• Maintain reconciliation reports for recovered and pending EMD, security deposit, and retention amounts.

4. Documentation & Coordination

• Maintain organized records of tenders, LOAs, contracts, amendments, invoices, and commercial correspondence.
• Coordinate with internal departments regarding billing, collections, outstanding payments, and EMD recovery.
• Support Finance and Audit teams by providing the required documentation and reports.
• Ensure compliance with company policies, contractual requirements, and internal financial procedures.

Preferred Candidate Profile

• 27 years of relevant experience in billing, MIS reporting, commercial operations, or sales support.
• Experience in engineering, infrastructure consultancy, construction, or EPC organizations is required.
• Exposure to government tenders, client billing, and EMD recovery processes is highly preferred.
• Experience with Railway, Road, Municipal Corporation, or PSU projects will be an added advantage.
• Strong knowledge of MS Excel, including PivotTables, VLOOKUP/XLOOKUP, data analysis, and MIS reporting.
• Strong analytical and numerical skills, with excellent follow-up, coordination, and documentation abilities.
• Ability to manage multiple projects, tasks, and deadlines effectively.

Educational Qualification

Bachelor's degree in Commerce, Accounting, Management, or Engineering.
