Business Development & Proposal Coordination Executive

Key Responsibilities

• Prepare, format, and maintain proposals and fee workbooks in Innowell s standard templates. Send proposals to clients as instructed by the Manager and track acknowledgement/status. Follow up with clients until proposal status is closed as won, lost, or on hold. Coordinate with Technical and Pricing teams for pending proposal inputs. Maintain a live proposal tracker with client, value, stage, owner, next action, and follow-up date.
• CRM Management: Update all client interactions, meetings, proposals, and follow-ups in CRM on the same day. Ensure lead status, pipeline stage, ownership, and follow-up dates are accurate. Review CRM compliance weekly and flag non-updated records to concerned owners. Maintain CRM as the single source of truth for pipeline reporting.
• Booking, Billing & Collection: Prepare client/project-wise billing plans. Coordinate with Accounts for invoice requests and invoice status. Track collections against billing plans and highlight overdue payments. Maintain a BBC dashboard showing booked, billed, collected, and pending values.
• Internal Coordination: Act as a coordination point between Regional Manager, Senior Manager, Technical, Accounts, Admin, and wider teams. Track deliverables such as proposals, reports, certificates, invoices, and client commitments. Escalate delayed internal deliverables to the Senior Manager if unresolved after one follow-up cycle.
• Regional Manager Support: Support the Regional Manager in BD pipeline tracking, meeting follow-ups, and commitment calendar. Provide proactive reminders before due dates. Prepare daily, weekly, and monthly trackers for due, overdue, and upcoming actions. Share a weekly one-page leadership update on proposals, CRM, billing, collections, and pending actions.
• Reporting Cadence: Daily: Due follow-ups, meetings, and pending actions. Weekly: Proposal, CRM, and BBC status report. Monthly: Billing vs collection reconciliation and receivables ageing report.
• Reporting Structure: Formal Reporting: Regional Manager - Corporate Sustainability Working; Support: Regional Manager for BD, pipeline, proposals, and follow-up execution; Coordination: Senior Manager, Technical, Accounts, Admin, and wider teams.
• Success Metrics: First 90 Days - Zero proposals missed due to lack of follow-up. CRM fully updated with no stale records older than 5 working days. BBC dashboard live and updated weekly. Invoice-to-payment cycle time tracked. Reduced manager time spent on coordination and chasing.
