About the Role

We are looking for an experienced Assistant Operations Manager to oversee the smooth functioning of premium shared workspaces and ensure high standards of service, facility management, safety, and customer experience across multiple centers.

The role involves managing day-to-day operations, technical facilities, vendors, operational teams, projects, and cost optimization. The ideal candidate should be hands-on, proactive, technically sound, and capable of managing multiple stakeholders and teams.

Key Responsibilities

Operations & Facility Management

• Oversee the optimum functioning of existing centers.
• Establish and maintain high-quality service standards across operations.
• Develop and implement SOPs and operational protocols.
• Manage operational teams including Facilities, Security, Housekeeping, Technology and F&B.
• Coordinate with clients and distribute responsibilities among relevant team leads.
• Manage training and development of internal and third-party team members.
• Prepare and manage center rosters.
• Maintain operational documentation and records.
• Ensure strict compliance with health, safety, cleanliness, hygiene and security standards.
• Implement regulatory and statutory compliance requirements.
• Monitor and manage Electrical, HVAC and CCTV systems.
• Possess strong technical knowledge of Civil, Plumbing and Electrical works.

MIS & Cost Control

• Prepare and maintain operational MIS and documentation.
• Identify opportunities for reducing operational costs.
• Monitor operational expenses and support cost optimization initiatives.

Projects

• Execute client expansion and remodeling projects within existing centers.
• Support the execution and build-out of new centers.
• Coordinate closely with the design team to ensure timely and accurate project execution.
• Monitor project progress, quality, timelines and coordination with contractors.

Vendor & Cost Management

• Develop and maintain a network of contractors and vendors.
• Identify new vendors and service providers for future projects.
• Manage vendors and contractors effectively.
• Negotiate with vendors to achieve optimum cost and service quality.
• Support cost management across build-out and operational activities.

Requirements

• Graduation / Post Graduation in any relevant discipline.
• 5-6 years of experience in Operations, Facility Management, Service Quality and/or Project Management.
• Strong exposure to technical facility management.
• Good knowledge of Electrical, HVAC, Civil, Plumbing and CCTV.
• Experience in vendor management, negotiation and cost control.
• Experience managing multiple operational teams.
• Strong understanding of SOPs, compliance, health & safety and hygiene standards.
• Excellent communication and interpersonal skills.
• Good spoken English and professional etiquette.
• Presentable personality with a strong customer-service orientation.
• Ability to work independently with minimal supervision.
• Strong problem-solving and decision-making skills.
