Own end-to-end execution of property purchase ordersfrom receiving requirements to
releasing orders to vendors within SLA, ensuring on-time and in-full delivery, and resolving
post-delivery discrepancies (shortage/damage/wrong supply) through tight vendor follow-ups
and stakeholder communication
Key responsibilities
Order processing & release: Receive purchase requests/orders from properties, validate
details (item, spec, quantity, delivery location), create/record PO in the system, and
release the order to the vendor within 24 hours as per SLA
Delivery tracking & expediting: Track all open orders; follow up with vendors to confirm
dispatch and ensure delivery within 79 days; proactively expedite delayed orders and
update expected delivery dates
Stakeholder coordination: Act as the single point of contact between properties, vendors,
and internal teams; provide timely status updates, highlight risks, and escalate
delays/quality concerns early
Discrepancy/claims handling: Coordinate resolution for wrong items, missing quantities,
breakage/damage, and other delivery discrepancies; align on corrective actions
(replacement/credit note) and close the loop with the property
Documentation & reporting: Maintain accurate PO, confirmation, and delivery records;
run open-PO/overdue order trackers and support periodic supplier performance reviews
(OTIF, closure time, repeat issues)
Category management: Ensure adequate stock of all warehouse articles; onboard
multiple vendors and in multiple locations to ensure continuity of services within specified
SLA
What are we looking for -
Strong vendor follow-up and negotiation for timelines, replacements, and closures
High ownership on trackers, documentation discipline, and prioritization across multiple
simultaneous orders
Clear, proactive communication with multiple stakeholders; comfort with escalations and
conflict resolution
Working knowledge of P2P basics: PO lifecycle, GRN/receiving concepts, discrepancy
resolution, coordination with finance/AP when needed
Qualifications & experience
Graduate in any discipline; supply chain/procurement preferred
13 years in procurement operations / purchasing coordination / order expediting role
preferred
