Profile 1: Grievance Redressal Management

• Monitor and assess daily concerns and complaints raised by users.
• Ensure effective management of the complaint mechanism and maintain complete oversight of the grievance redressal system.
• Close the loop on concerns raised by conducting proper investigations and providing appropriate resolutions to users.
• Collect and review monthly feedback on vendor services.
• Organize monthly vendor meetings and prepare and circulate meeting agendas.
• Conduct daily operational checks and provide support for lost laundry-related concerns.
• Coordinate with various departments for university laundry requirements, including the Food Department, Guest House, VIP Laundry, and other relevant departments.

Profile 2: Legal Compliance, Documentation & Billing

• Maintain records and track the expiry and renewal of agreements, including the incorporation of new clauses where required.
• Track FSSAI licenses and ensure timely renewal through regular follow-up with vendors.
• Maintain staff records and compliance documents, including medical records, police clearance certificates, identity documents, and mandatory training records such as FOSTAC.
• Prepare and process monthly rental invoices for vendor partners.
• Maintain records of defaulters and ensure regular follow-up for timely resolution.
• Coordinate with the JGU Security Department regarding staff gate entry, vehicle movement, and preparation of staff identity cards.
• Coordinate with vendors regarding staff disciplinary matters, employee well-being, and alcohol related concerns.
• Ensure compliance with minimum wages, PF, ESI, and other applicable statutory requirements for all laundry workers deployed on campus.

Profile 3: Laundry Operations

• Monitor and provide operational support for the vendor's daily laundry operations.
• Supervise the ETP plant, including its operation and maintenance, in coordination with the laundry vendor.
• Engage regularly with vendors to identify and resolve daily operational challenges.
• Coordinate with relevant departments, including FM and Infrastructure, to ensure timely completion of necessary work.
• Prepare snag lists for biannual preventive planned maintenance activities.
• Monitor and coordinate with vendors to ensure timely completion of preventive planned maintenance activities.
• Conduct regular audits, prepare audit reports, and communicate findings to vendors for necessary corrective actions.
• Ensure proper upkeep, housekeeping, and maintenance of the laundry facility.
• Monitor safety practices, including the use of PPE kits, chemical storage, fire safety norms, and LPG usage.
• Maintain records of functional and non-functional equipment, including washing machines, DC machines, and dryers.
• Monitor the quality of washing and dry cleaning services, including checking for stains, damage, and other quality-related issues in laundered and dry-cleaned items.
• Monitor the rates of direct-paid laundry services offered to students.
• Ensure optimal utilization of available campus resources.
• Conduct and coordinate joint safety audits with the Fire and Electrical Departments.
