    • Facility Management: Electrical items, plumbing materials, HVAC spares, DG-related consumables, lift maintenance requirements, and general maintenance materials.
    • IT & Technology: Computer hardware, networking equipment, peripherals, POS-related hardware, and other approved IT requirements.

Ensure that all technical and specialised purchases are evaluated in consultation with the respective departments and subject-matter experts.

    C. Commercial Negotiations & Cost Optimisation

    • Negotiate competitive pricing, payment terms, credit periods, warranties, and service-level commitments.
    • Obtain and evaluate comparative quotations from multiple vendors.

    • Benchmark prices against prevailing market rates and historical purchase prices.
    • Develop annual procurement cost-reduction targets and monitor actual savings.
    • Review recurring procurement expenditure to identify unnecessary purchases, excessive consumption, and cost leakages.
    • Standardise products and specifications across cinema units wherever operationally feasible.
    • Evaluate the total cost of ownership, including maintenance, transportation, installation, and lifecycle costs, rather than focusing solely on purchase price.

    D. Vendor Management & Development

    • Identify, evaluate, appoint, and develop reliable vendors and service providers.
    • Maintain an approved vendor database with commercial terms, compliance documents, and performance records.
    • Conduct vendor assessments based on pricing, quality, delivery timelines, service response, and reliability.
    • Monitor vendor performance and address recurring quality or delivery issues.
    • Review existing vendor contracts and identify opportunities to renegotiate or change underperforming vendors.
    • Develop alternate suppliers to reduce dependency on individual vendors.
    • Ensure adherence to agreed service levels, contractual terms, and company procurement policies.
    • Coordinate vendor reviews with Operations, Finance, Engineering, F&B, and other relevant departments.

    E. Purchase Planning & Inventory Control

    • Coordinate with cinema unit managers and department heads to consolidate purchase requirements.
    • Establish appropriate minimum and maximum stock levels for regularly consumed materials.
    • Monitor consumption patterns and identify abnormal usage or wastage.
    • Coordinate with stores and unit teams to avoid overstocking, stockouts, and emergency purchases.
    • Review slow-moving, excess, and obsolete inventory and recommend corrective action.
    • Implement standard consumption norms for high-volume items such as housekeeping chemicals, tissues, packaging materials, and F&B consumables.
    • Ensure effective coordination between purchase, stores, accounts, and operations teams.

    F. Commercial Purchase & Contract Management

    • Review purchase requisitions, quotations, comparative statements, purchase orders, and vendor agreements.
    • Ensure procurement is supported by appropriate documentation and approval.
    • Negotiate annual rate contracts for frequently purchased goods and services.
    • Monitor contract renewals, price escalations, warranty terms, and vendor obligations.
    • Ensure purchase orders accurately reflect agreed specifications, quantities, rates, delivery schedules, and payment terms.
    • Coordinate with Finance and Accounts to resolve invoice discrepancies, pricing mismatches, and payment-related issues.
    • Ensure appropriate segregation of duties between requisitioning, purchasing, receipt of materials, and payment processing.

    G. MIS, Budgeting & Reporting

Prepare and review periodic procurement MIS reports covering:

    • Unit-wise and department-wise purchase expenditure.
    • Monthly and annual procurement budgets versus actual expenditure.
    • Vendor-wise and category-wise spend analysis.

    • Cost savings achieved through negotiations and vendor rationalisation.
    • Purchase order status and pending deliveries.
    • Emergency purchases and deviations from procurement policy.
    • Inventory consumption, stock ageing, and excess stock.
    • Vendor performance and delivery compliance.
    • Capital expenditure and project procurement status.

Present procurement performance, cost-saving initiatives, significant variances, and corrective action plans to senior management.
