Role & responsibilities

• Capitalization of assets, Building activities ,software portion & Vehicles
• Monitor and follow up with user departments for Pending capitalization
• Computation of  Depreciation for all the assets as per policy
• Post Depreciation checks to ensure all assets are captured in    Depreciation run
• Accountability of Asset transfer to regional offices and transfers within the factory
• Disposal of used cars to employees and others , Accounting asset  Scrapping
• Ensuring that  all assets pertaining to HMI are tagged for easy traceability
• Preparing project wise ageing report on pending capitalization to update the status to Management
• Physical verification of  assets  in Factory and  Vendor Location
• Processing of capital & CHA bills on regular basis
• Advance settlements with clearing entries
• Capital Retention Report status
• Maintaining  Advance Bank Guarantee Status relating to  Capital Asset
• Confirmation and Vendor Reconciliations.
• Audit co-ordination providing sample documents, Balance
• Tool Cost Payments accounting and retention payment status
• Scrap Sale advance receipt accounting with AR clearing
• Preparation of schedule  and follow-up for Advances
• CKD Sales receipt accounting for related parties (GLOVIS & KIA)
• AR clearing - Scrap, CKD Sales, Domestic Sales
• Audit co-ordination – providing sample documents, Balance
• Reconciliation of balances with related parties and reporting
• Verify, Coordinate and Account all Direct and Indirect Material Invoices by verifying Purchase Order, GST and TDS Compliances etc to ensure completeness of Accounting
• Ensure timely accounting of GRIR by following up with the User for submission, Issue Resolving, Coordinate with Vendor / IT / Taxation for smoother & timely accounting of Indirect Material Invoices
• Execute Exception reports, Analyze the reasons and account after rectifying the errors.
• Validate and Account the Retro Invoice based on Approval from Procurement, compare against the available retro increase provision and ensure GST/TDS compliances at the time of payment.
• Check and Account for Under Invoicing cases by coordinating with Vendors to ensure timely payable creation
• Account of Sub-Part Invoices generated , Validate the approval / Gate entry etc to ensure proper accounting
• Coordinate and Clear IRN block for Invoices for which GRIR been created, ensure GST Compliance if any
• Coordinate with Direct Material Vendors to support OCR Validation process and follow up with Indirect material vendors to provide digital Invoice in Vendor digital portal to support proper accounting of bills.
• Coordinate with External and Internal Auditors to provide all necessary documents (Invoices and PO Copy) for Audit
• Analyse open items, find out reason for pending cases, follow up with User department and Vendor development for submission of Invoices to ensure timely accounting of expenses.
