Accounts Payable Executive

JOB DESCRIPTION Executive Accounts Payable
Job Purpose
To handle day-to-day accounting operations including purchase booking, vendor payments, bank reconciliations, Vendor reconciliation, statutory payments, and audit support, ensuring accurate books of accounts.
Key Responsibilities
Purchase Booking & Accounts Payable

• Ensure timely and accurate booking of purchase invoices of direct & indirect expenses.
• Verify vendor invoices, supporting documents, cost sheets and relevant approvals before booking.
• Monitor purchase booking turnaround time in relation to vessel sailing dates
• Identify discrepancies in cost sheets and coordinate for timely correction.
• Ensure invoices are processed within defined timelines.

Vendor Payments

• Prepare and process vendor payments accurately and within agreed timelines.
• Ensure payments are released within the applicable credit period and without unnecessary delays.
• Coordinate with vendors and internal departments for pending invoices and payment-related queries.
• Maintain vendor satisfaction through timely and accurate payment processing.

Ledger Reconciliation

• Conduct periodic reconciliation of vendor and other relevant ledger accounts.
• Follow up with concerned departments/vendors for missing documents and invoices.
• Ensure reconciliation differences are investigated and resolved promptly.
• Conduct daily Bank reconciliations

Statutory Compliance:

• TDS Payments, EPF Payment, PT Payment

Audit Support:

• Provide documents and support during internal and statutory audits.

Financial Support

• Assist in financial analysis and reporting activities.

Documentation: Maintain proper records for accounting and legal requirements.
