Job Overview

Tekshapers Software Solutions Pvt. Ltd. is looking for an experienced US Accounts Executive (AP/AR) with strong knowledge of US staffing and IT consulting accounting processes. The ideal candidate should have hands-on experience in Accounts Payable (AP), Accounts Receivable (AR), QuickBooks Online, VMS portals, timesheet management, client invoicing, and payment processing.

Candidates with prior experience at Birlasoft, Virtusa, or HCL are mandatory, along with practical knowledge of US staffing accounting and billing operations.

Key Responsibilities

• Manage day-to-day Accounts Payable (AP) and Accounts Receivable (AR) activities for US staffing operations.
• Handle client invoicing, vendor billing, payment processing, and collection follow-ups.
• Maintain and update financial records using QuickBooks Online.
• Work on VMS portals, particularly HCL and Beeline, for timesheet processing, billing, and invoice-related activities.
• Validate employee and consultant timesheets to ensure accurate billing and payroll processing.
• Monitor outstanding receivables, maintain AR aging reports, and follow up on overdue payments.
• Reconcile customer accounts, vendor statements, and financial transactions.
• Identify and resolve billing discrepancies, payment mismatches, and invoice-related issues.
• Coordinate with clients, vendors, internal recruitment teams, and other stakeholders regarding billing and payment queries.
• Prepare periodic financial reports, account reconciliations, and other accounting documentation.
• Ensure accuracy and timely completion of accounting activities in accordance with internal processes.

Required Skills and Qualifications

• 5+ years of relevant experience in US accounting, preferably within the US staffing or IT consulting industry.
• Prior work experience with Birlasoft, Virtusa, or HCL is mandatory.
• Strong hands-on experience with QuickBooks Online.
• Practical experience in both Accounts Payable and Accounts Receivable.
• Experience working with VMS portals, particularly HCL and Beeline.
• Strong understanding of US staffing billing, client invoicing, vendor payments, and collections.
• Hands-on experience with timesheet validation, timesheet management, and billing reconciliation.
• Proficiency in MS Excel, including PivotTables, VLOOKUP/XLOOKUP, and financial reporting.
• Knowledge of account reconciliation, AR aging reports, outstanding payments, and vendor statement reconciliation.
• Strong analytical, communication, coordination, and problem-solving skills.
• Ability to manage multiple accounting activities while maintaining accuracy and meeting deadlines.
